Job Description

Spectrum Center Schools and Programs, located at 15650 Pipeline Ave, Chino Hills, CA 91709, is looking for an Administrative Assistant to join our award‑winning Special Education team. This role supports the smooth operation of the school by handling a variety of administrative and office‑management duties while working closely with the Office Manager and Program Director. Responsibilities Assisting with receptionist and front office functions, including answering and directing phone calls, arranging conference calls, welcoming visitors, and ensuring professional interactions. Handling incoming and outgoing mail, including receiving and routing courier packages, distributing internal mail, and preparing outgoing correspondence, email, and faxes in a timely manner. Supporting purchasing, stocking, and maintenance of office and school supplies to keep resources and equipment in good working order. Copying correspondence, reports, and other materials as needed for school operations and instructional support. Organizing and maintaining school and office files, ensuring documents are accurate, accessible, and stored per policy and compliance standards. Coordinating special projects such as employee mailings, flyer distribution, and student or parent communications. Completing administrative tasks assigned by the supervisor to maintain efficient and effective school operations. Preparing reports, records, and documentation—including accounting, personnel, student, and operational data—accurately and on schedule. Participating in school events and activities, providing administrative support to staff, students, and visitors as needed. Assisting with additional responsibilities or projects as assigned, staying flexible to meet the evolving needs of the school community. Qualifications High school diploma or equivalent with passage of basic skills test. Minimum 1 year prior experience in an administrative support role, preferably in an education program setting. Proficiency in reading, writing, analyzing, and interpreting detailed reports and business correspondence. Experience in record keeping and data management, including database and spreadsheet development and maintenance. Knowledge of special education services, especially for students with autism or behavior challenges, preferred. Ability to prioritize tasks, meet deadlines, and maintain organization and attention to detail. Ability to remain calm and act independently during emergencies. Strong presentation skills and the ability to respond to questions from staff, students, parents, partners, and the public. Motivational and flexible with changing priorities and new initiatives. Advanced oral and written communication, conflict resolution, multitasking, problem‑solving, and decision‑making skills. Well‑versed in relevant technology, including computers, Microsoft Office Suite, database entry, and basic office equipment.
