Description Essential job Functions: Administration
- Provide daily administrative support to the Manager, HR Administration and Executives.
- Order office supplies, Mitsukoshi Letterhead and Envelopes, Business Cards and toner for copier
- Send/Receive mails, FedEx, UPS, and distribute them internally
- Answering phone calls
- Tracks proposal ID which includes log number, e-mail requester and filing.
- Assists HR with W2 distribution, Insurance Open Enrollment and etc.
- Liaison between WDW and Mitsukoshi with regards to clearance, Disney complimentary items, name tag, employee clearance, main gate passes and replacements.
- Assists with Cultural Representatives' relocation preparation, departure preparation, exit interview and Early Terminations.
- Put together packets for new CRs, order food for arrival meetings / trainings, assist I-9 and social security paperwork.
- Assist with CR payments for housing and insurance extension.
- Work with immigration lawyer to help get Visas for non-cultural rep employees.
- Advise HR of visa expiration dates.
- Assist with HRIS system updates.
- Tracks employee locker assignments.
- Other duties and responsibilities as required.
Recruitment and Staffing:
- Coordinate and schedule interviews with candidates.
- Assist in the onboarding process for new hires, including paperwork, orientation, and training logistics.
Employee Records Management:
- File, maintain accurate and up-to-date employee records.
- Ensure compliance with data protection regulations.
HR Policies and Procedures:
- Help in the development and implementation of HR policies and procedures.
- Ensure employees are aware of and adhere to company policies.
Employee Relations:
- Act as a point of contact for employee questions and concerns.
- Assist in resolving employee relations issues and conflicts.
Compliance:
- Ensure compliance with labor laws and regulations.
- Assist in the preparation of reports for regulatory bodies.
HR Communication:
- Facilitate internal communication related to HR policies and initiatives.
- Contribute to the creation of HR-related content for internal communication channels.
Event Coordination:
- Assist in organizing company events, such as holiday party, meal programs and employee recognition programs.
Requirements Qualifications: - High School diploma and minimum one-year administrative experience.
- Strong computer skills including proficiency with Microsoft Word and Excel.
- Bi-lingual Japanese Required
