Executive & Personal Assistant to CEO
Boutique Global Investment Banking Firm
Position Overview:
Seeking an exceptional Executive Personal Assistant to provide comprehensive
support to the CEO of a boutique investment banking firm with 30 professionals across
global locations (US, Europe, Asia). This role combines high-level business support with
personal assistance duties, requiring supreme organizational skills, discretion, and
professional polish. The CEO has two other companies as well, this role would support
all requirements of the Executive as outlined below.
Key Responsibilities:
Executive Support (approximately 50%):
- Manage complex calendar and scheduling across multiple time zones
- Coordinate global team meetings and communications
- Prepare presentation materials and briefing documents for CEO
- Handle sensitive business correspondence and documentation
- May support deal flow administration and client relationship management
- Organize international business travel and events
- Maintain organized digital and physical filing systems
- Assist CEO with corporate documentation
Personal Support (approximately 50%):
- Manage personal calendar, appointments, and travel arrangements
- Handle select personal correspondence and communications
- Coordinate personal vendors and service providers
- Manage personal administrative tasks and paperwork
- Assist with family scheduling and logistics
- Coordinate personal events
- Process personal expenses and documentation
- Act as primary point of contact for personal matters
Required Qualifications:
- Ability to maintain strict confidentiality
- Professional-level fluency in English (written and verbal)
- Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook)
- Minimum 3 years’ experience (ideally as an EA/PA to senior executives)
- Bachelors degree or equivalent professional experience
- Experience in the financial services industry preferred
- Exceptional organizational and time management skills
- Strong problem-solving abilities
- Excellent written and verbal communication skills
- Ability to work independently and anticipate needs
- Professional demeanor and presentation
Location:
Position would ideally be in Detroit, Michigan.
Hours: 24 hours per week, contract role.
A flexible schedule is required to accommodate global business operations and time zones.
