Position Summary

The Project Administrator plays a key role in supporting project operations by providing administrative and accounting assistance to the Sales [LW1] and finance teams. This position is responsible for setting up new jobs, maintaining accurate job records, and processing daily billing. The role also includes verifying and setting u commissions, resolving open orders, and ensuring smooth project closeout with complete and accurate documentation.

Essential Duties and Responsibilities

  • Collaborate with the Sales Team [LW2] to ensure smooth day-to-day project operations.
  • Set up new projects in the ERP system and CRM program with complete and accurate information and required documentation.
  • Prepare, process, and distribute daily customer invoices and related financial records.
  • Verify all order commissions with a high level of accuracy.
  • Investigate and resolve open order issues, including discrepancies, delays, and missing details.
  • Assemble and organize Operations & Maintenance (O&M) manuals for project closeout.
  • Maintain well-organized and up-to-date electronic project files and records.
  • Communicate professionally with vendors, subcontractors, and internal teams to gather and confirm project information.
  • Ensure compliance with company policies, contract requirements, and project deadlines.

Qualifications

  • Associate degree in project administration, business administration, accounting, or equivalent experience preferred.
  • Previous experience in project administration, accounting support, or a related field strongly preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Experience in billing, commission tracking, or order management processes is an advantage.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project/accounting software.
  • Strong analytical, problem-solving, and research abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently as well as collaboratively with cross-functional teams and external partners.
